With the goal of establishing an ongoing and powerful connection between brand teams and their speakers, the Healthware Board & Speaker Portal™ provides brand managers with the ability to tailor content and messages by brand, and provides speakers with access to all approved content on a dynamic and interactive platform.

By combining document management and search capabilities, discussion boards, surveys, and postings, all in an easy-to-use portal environment, Healthware is able to provide brand teams with a state-of-the-art environment in which to continually interact and engage speakers with up-to-date marketing materials.

The Healthware Board & Speaker Portal is an intuitive, browser-based application that can stand alone or link out to an existing intranet or extranet. Role-based authentication ensures security, so that speakers can access and update only the content that you authorize.

For Speakers

  • Powerful search function locates content of all types (eg, presentations, video, documents) and displays content in an easy-to-use format

Case Study

In 2011, the Board & Speaker Portal was implemented for Healthware client Bristol-Myers Squibb (BMS) with the purpose of communicating, in a secure environment, with a large audience of transplant physicians, non-transplant nephrologists, and other key stakeholders involved in renal transplantation.

The BMS "Board Portal" is connected to and accessible from the BMS TransplantPoint.com Portal, the EU professional online resource center on renal transplantation that provides education, interaction, and information on kidney transplants, directly to transplant physicians.

The Board Portal is managed by a team of administrators from BMS. Users are assigned to one or more diverse working groups to interact and collaborate on various topics. Physicians registered on TransplantPoint.com receive access to the BMS Board Portal upon receiving an invitation from an administrator to join one of the working groups.

Upon accepting an invitation to join a working group, the following activities related to the group are shown to the physician:

  • Latest messages posted by the group members
  • Latest message per group within a blog section
  • Messages received directly from other group members
  • Overview of the meeting events planned for that group
  • Latest documents uploaded to a group
  • Links to other speaker-related sites, such as contract status, payments, schedules, and more
  • Direct access to company resources, including interactive communication with internal resources (eg, “Call Me”, Chat), depending on the role and urgency of interaction

In the Documents section of a group, users can view and download documents posted by group members, as well as upload their own documents.

The Meetings section includes a web meeting service (using Adobe® Connect™ or WebEx services), which allows for live connection with other members of a group. Users are able to participate in web meetings upon invitation, and can also consult their own meetings calendar. In the web meeting environment, users can view the shared screen of the host or presenter, broadcast live video, use text chat, and view the meeting notes.

The Messages section acts as the Board Portal mailbox. It allows users to send and receive messages from one or more fellow group members.

The Blog section allows a user to participate in ongoing discussions. All blog postings related to a user’s groups are shown on the home page. Accessing a group’s page will allow the user to see the groups’ discussion thread.

Administrators of the Board Portal have access to additional functionalities for the management of the Board Portal and its working groups. Group administrators are able to create new working groups, as well as invite or remove group members. In the Documents section, administrators are allowed to delete documents, create group subfolders, and change the organization of the folders. Administrators also have the role of Blog moderators, and are allowed to add new topics to a blog and delete blog messages. In the meeting section, they can organize a meeting or event and manage all functionalities of the Adobe® Connect™ web service as the host, such as sharing screens with the participants, or adding and removing invitees.
